At Dove Dental Clinic, we are committed to fair and transparent billing. This Refund Policy explains how refunds are handled for payments made towards consultations, treatments, deposits, and online payments made through our website.
1. Consultation Fees
Consultation fees are charged for the professional time and clinical assessment provided by our dentists. As a service has been rendered, consultation fees are generally non-refundable once the consultation has taken place.
If you have paid a consultation fee online but were unable to attend, please refer to our Cancellation Policy for details on rescheduling or refunds.
2. Treatment Payments and Deposits
For multi-visit or planned treatments, we may collect an advance payment or deposit. Refunds for treatment payments are handled as follows:
- Treatment Not Started: If you cancel a planned treatment before it has begun, the amount paid is refundable after deducting any consultation, diagnostic, or laboratory charges already incurred.
- Treatment In Progress: If a treatment is partially completed, refunds will be calculated on a pro-rata basis for the services not yet provided, less the cost of materials, lab work, and procedures already performed.
- Custom Lab Work: Payments towards custom items such as crowns, dentures, aligners, or implants are non-refundable once the laboratory work or order has been initiated.
3. Online Payments
Payments made online through our secure payment gateway are subject to this Refund Policy. In the case of:
- Duplicate Payment: If you are charged more than once for the same service due to a technical error, the duplicate amount will be refunded in full.
- Failed Transactions: If an amount is debited from your account but the transaction fails or is not recorded, the amount will be refunded automatically by your bank or payment provider, typically within 5–7 business days. If it is not, please contact us.
- Overpayment: Any amount paid in excess of the actual treatment cost will be refunded or, with your consent, adjusted against future treatments.
4. Refund Process and Timeline
To request a refund, please contact us using the details at the end of this page. Once a refund is approved:
- Refunds for online payments will be processed to the original payment method (credit/debit card, UPI, net banking, etc.).
- Refunds are typically processed within 7–10 business days from the date of approval.
- The time taken for the amount to reflect in your account depends on your bank or payment provider.
- You will receive a confirmation once the refund has been initiated from our end.
5. Non-Refundable Items
The following are generally non-refundable:
- Completed treatments and procedures
- Consultation and diagnostic charges for services already provided
- Custom laboratory work once initiated (crowns, dentures, aligners, implants, etc.)
- Medicines and consumables that have been dispensed
- Promotional or discounted packages, unless stated otherwise at the time of purchase
6. Exceptions and Discretion
We understand that medical circumstances can be unpredictable. In cases of genuine medical emergencies or where treatment could not be provided due to reasons attributable to the clinic, refunds may be granted at the discretion of the clinic management, even where this policy would otherwise not permit a refund.
